When New College made the strategic decision to move from college-cleaning to a self-cleaning model, a rigorous inspection process became essential overnight. The team began on pen and paper, then moved through Microsoft Forms and spreadsheets. Each step removed some friction, but none of them closed the loop between inspection results, student records, and the email sitting in a student’s inbox.
The admin burden landed on the accommodation team. Inspection results had to be hand-cross-referenced against KxStudent. Every failed-room email had to be written and sent individually. New College evaluated alternatives, including a generic tenancy inspection platform, but it was built for the private rental market and didn’t fit a collegiate environment.
