What New College, Oxford Needed to Solve

When New College made the strategic decision to move from college-cleaning to a self-cleaning model, a rigorous inspection process became essential overnight. The team began on pen and paper, then moved through Microsoft Forms and spreadsheets. Each step removed some friction, but none of them closed the loop between inspection results, student records, and the email sitting in a student’s inbox.

The admin burden landed on the accommodation team. Inspection results had to be hand-cross-referenced against KxStudent. Every failed-room email had to be written and sent individually. And because students received the results without the photo evidence, the team fielded a steady stream of complaints from students about their inspections, as well as“I never got the email” conversations.

Why KxInspections?

New College evaluated alternatives, including a generic tenancy inspection platform, but it was built for the private rental market and didn’t fit a collegiate environment. KxInspections was purpose-built for higher education, natively integrated with KxStudent, and meant managing one system rather than several. The Kinetic team visited New College in person to understand exactly how inspections were conducted before go-live.
